Frome Lions Club is committed to safeguarding your privacy. This privacy policy explains how we will treat any personal information you supply to us, or which we collect from you. Please read this policy carefully as it affects your legal rights.

The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)
How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Contacting us using the enquiry form on our website, via email or through our social media accounts
  • Attending or participating in one of our events, community or fundraising activities
  • Becoming a Frome Lions member, having member details and login details for the website
  • Signing a gift aid form associated with fundraising

We use the information that you have given us in order to correspond with you, keep you informed of future and past activities.

We may share this information with partnering organisations in the event that an activity you participate in in co-hosted with them and they require access to the guest list.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting [email protected].

(b) We have a contractual obligation.

(c) We have a legal obligation.

(d) We need it to perform a public task.

How we store your personal information 

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area (EEA). It may be processed by staff operating outside of the EEA who work for us or are a trusted, contracted supplier. Such staff may be engaged in the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. 

We will take all reasonable steps to ensure that your data is treated securely and in accordance with this privacy policy. All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted.

Where we have given you (or you have chosen) a password which enables you to access certain parts of our site(s), you are responsible for keeping this password confidential. We ask that you keep your password secure and do not share this information with anyone.

We keep your personal information (name, email address, phone number) for two years. We will then dispose your information by securely deleting the information from our servers and confidential shredding of any physical documents. The only exception beyond two years is if you sign a gift-aid form associated with our fundraising. Your details have to be kept for six years in this instance and will be confidentially shredded thereafter.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
